Privacy Policy
This policy explains what information Facility CMMS (operated by Sysemall, LLC, a Michigan limited liability company, “we”) collects, how we use it, and the choices you have. We do not sell personal information.
Information we collect
- Account information: your name, email address and a password (stored in hashed form by our authentication provider), your role, and the company you belong to.
- Your company’s data: everything you and your team enter — locations, equipment, work orders, inspections, inventory, notes, photos, schedules, service requests and, for Managers, hourly pay rates.
- Billing information: handled by Stripe. We receive your company’s subscription status, billing email and plan, but never your full card number.
- Usage and activity records: a Manager-only activity log of who created, changed or deleted records; and basic technical data needed to run the Service.
- Marketing and product analytics: on our public pages, the demo and sign-up screens we count page views and button clicks using an anonymous random ID stored in your browser, the site you came from, campaign tags in the link, and whether your device is mobile or desktop. We do not store IP addresses in these records and do not use advertising trackers. If your browser sends a “Do Not Track” signal we do not send these events.
- Messages you send us: such as support emails, and service requests submitted through a company’s public request link (name, contact details, description).
How we use information
To provide, secure and support the Service; to send account emails (for example password resets); to process subscriptions; to understand which pages and features help people so we can improve them; and to comply with law. We do not use your company’s data for advertising.
Who processes data for us
- Supabase — database, authentication and file storage.
- Netlify — website hosting.
- Stripe — payment processing and billing.
- Google (Gmail) — delivery of account emails such as password resets and support replies.
- Resend — delivery of optional notification emails (daily summaries, assignment and service-request alerts), which each user can turn off in the app.
These providers process data only to provide their services to us and have their own security and privacy commitments. We may disclose information if required by law or to protect rights and safety.
Cookies and local storage
We use your browser’s local storage for essential functions: keeping you signed in, remembering preferences, caching recent data so the app works offline, queuing changes made while offline, and the anonymous visitor ID described above. Clearing your browser data removes these; you may need to sign in again.
Data separation and security
Each company’s data is kept separate and protected by database access rules so that only members of that company (and their assigned roles) can read it. Connections are encrypted in transit. No system is perfectly secure; please use strong, unique passwords and tell us if you suspect a problem.
Retention and deletion
We keep your company’s data while your subscription is active. If you cancel, we keep it for 45 days so you can renew and return, and may permanently delete it afterward. You can ask us at any time to delete your data or your personal account by emailing facilitycmmssupport@gmail.com. Some billing records must be kept for tax and legal reasons.
Your choices and rights
You can access and correct most information in the app. You may request correction or deletion of your personal information, and you may object to marketing emails at any time. Depending on where you live you may have additional rights; contact us and we will respond in a reasonable time.
Children
The Service is for businesses and is not directed to children under 16, and we do not knowingly collect their information.
Changes
We may update this policy. If a change is material we will notify you in the Service or by email before it takes effect.
